Mailing/Letters window
Purpose
Use this window to generate a variety of Mailing/Letters report types including address labels, customer notifications, and emails.
To access this window
Select Mailing/Letters on the Report Catalog window - Customer tab and click Run.

Item | Description |

Options for Output Type
|
Select the type of label, file, mailing, notification, or email you want to generate. Depending on your selection here, and the AIMsi modules you have purchased, some boxes and options on the Setup tab may or may not be available to you. |
Word Template For Letters |
Select a template for your letters. Templates are created in Microsoft Word and saved with the file extension .dot. They are added to AIMsi on the Add/Change Word Template Locations window. This box is only available if you select Letter as the Output Type. |
Notify Script |
Select the script you want to use for your phone or SMS notifications. Phone notify scripts are set up on the active-e Phone Notify Scripts window when you click active-e Phone Scripts on the XML/EDI Services Maintenance menu. This box is only available if you select Phone Notify or SMS Notify as the Output Type. |
Call Schedule |
Enter the date (11/11/1111) and time (HH:MM), then indicate if the time is AM or PM. These boxes are only available if you select Phone Notify or SMS Notify as the Output Type. To quickly enter today's date, press T on your keyboard. To quickly back-date or forward-date by one day, use the Hyphen key (-) and Equal key (=) on your keyboard (alternatively, use the Minus Sign and Plus Sign keys on your keyboard number pad). To quickly back-date or forward-date by one month, use the Page Up and Page Down keys on your keyboard. This box supports F6 functionality; the Choose Date window opens. |
HTML Email |
Select the email form you want to use. These are created on the HTML Email window. This box is only available if you select HTML Email as the Output Type. |

Select the type of file you want to generate: Microsoft Excel spreadsheet, a comma-delimited text file, or a Microsoft Visual FoxPro database file. These options are only available if you select File as the Output Type. |
(file location) |
Click the ellipsis button (...) to browse to a location on your computer where you want to save the generated file. This box is only available if you select File as the Output Type. |
Options for column formatting

Indicate if you want the city, state, and ZIP codes to print in one column or in separate columns. These options are only available if you select File as the Output Type. |
Options for primary filtering All of the following options may or may not be available, depending on the AIMsi modules you have purchased. |

Customer |
Select this check box to generate output based on customer records. This check box makes the Cust, Sales, and Contact Mgmt tabs available. |
Contracts |
Select this check box to generate output based on contracts. This check box makes the L Cont tab available. |
Short Term Rental |
Select this check box to generate output based on short term rentals. This check box makes the S Rent tab available. |
Lesson |
Select this check box to generate output based on lesson/appointment scheduling. This check box makes the Lesson tab available. |
Service |
Select this check box to generate output based on service tickets. This check box makes the Service tab available. |
Order |
Select this check box to generate output based on orders and purchase orders. This check box makes the Order tab available. |
Vendor |
Select this check box to generate output based on vendors. This check box makes the Vendor tab available. |
Options for output |

1 Per Account |
Select this check box to generate one of your selected output types per account, regardless of your other filtering selections. For example, if you select Customer above, and then filter by sales, a customer who has purchased multiples of the same item would be included in your output as many times as they've made that same purchase unless you select this option. |
Enable Email |
Select this check box to send electronic, rather than printed, correspondence to accounts that are set up with an email address and a method that allows email. |
Display total Before Printing |
Select this check box to display the total number of labels or letters that will print before you print them. |
Print Customer Account |
Select this check box to print the account number on labels. This check box is only available if you select 5160 Labels or Blaster as the Output Type. |
Include Alternate Email Addresses |
Select this check box to generate emails for each email address on an account. |
Options for account inclusion

Select one of these options to generate output for any account, accounts with an email address and method that allows email, or for accounts that either do not have an email or have an email but are set to not send email. You must select Only Accounts With Email Correspondence if you select HTML Email as the Output Type. |
Options for printing order
|
Select one of these options to generate your output in account number order, last name order, or ZIP code order. |
Account# for Restart |
To reprint items starting at a specific point, enter the account number of the account before the one you want to restart at. For example, if you are printing labels and the printer jams, enter the account number of the last successfully printed label in this box. AIMsi will print the remaining labels beginning at that point. |

Zip Code Range |
Enter a starting and ending range of ZIP codes to include only those customers whose primary address is within that range of ZIP codes. |
Acct# Range |
Enter a starting and ending range of account numbers to include only those customers whose account number is within that range. These boxes support F6 functionality; the Pick Customer window opens. |
Entry Date |
Enter a starting and ending date range to include only those customers entered in AIMsi during that time. To quickly enter today's date, press T on your keyboard. To quickly back-date or forward-date by one day, use the Hyphen key (-) and Equal key (=) on your keyboard (alternatively, use the Minus Sign and Plus Sign keys on your keyboard number pad). Loyalty Points Range |
Enter a range of loyalty points (such as 0-500) to include only those customers who are part of your loyalty program and have accrued an number of points within this range. |
Balance Range |
Enter a range of outstanding balances (such as 100-500) to include only those customers who have outstanding account balances within that range. |
Employee |
Select an employee to include only those customers who have a primary employee contact. |
Billing Cycle |
Select a billing cycle to include only those customers billed during that cycle. |
Birthday Month |
Enter a numerical month (1-12) to include only those customers with birthdays in that month. |
Birthday Range |
Enter a range of dates to include customers whose birthdays fall within that range. To quickly enter today's date, press T on your keyboard. To quickly back-date or forward-date by one day, use the Hyphen key (-) and Equal key (=) on your keyboard (alternatively, use the Minus Sign and Plus Sign keys on your keyboard number pad). DL Expiration Range |
Enter a range of dates to include customers whose driver's license expires during that range. |
Or Resident |
Select this check box to address labels to the customer name with the additional "or current resident" notation. For example: Calvin Aaronson or Current Resident |
Exclude 0 balance |
Select this check box to exclude any customer accounts that have a zero-dollar balance. |
Customer Type |
Select one or more customer types to include only those customers set up as this type. Hold down Ctrl while clicking with the left mouse button to select more than one customer type. By default, all customer types are included on the report. |
Customer Mail Code |
Select one or more mail codes to include only those customers set up with this code. Hold down Ctrl while clicking with the left mouse button to select more than one mail code. By default, all customer mail codes are included on the report. |

Acct# |
Enter a customer account number to print a 5160 or Barcode Blaster label for that specific customer. Press the Tab key after identifying a customer account to populate the Address Detail boxes with that customer's address information. You can optionally leave this box blank and type any address information in the Address Detail boxes. This box supports F6 functionality; the Pick Customer window opens. |

Number of Single Labels |
Enter the number of labels you want to print for the customer account and address in the Acct# and Address Detail boxes. |
No Activity Since |
Enter a date to include only those customers who have had no account activity since that date. To quickly enter today's date, press T on your keyboard. To quickly back-date or forward-date by one day, use the Hyphen key (-) and Equal key (=) on your keyboard (alternatively, use the Minus Sign and Plus Sign keys on your keyboard number pad). Country |
Enter a country to include only those customers whose primary address is in that country. |

Sku/Catalog |
Enter a SKU or catalog number to include only those customers who have purchased that item. This box supports F6 functionality; the Display Inventory window opens. |
Model |
Enter a model number to include only those customers who have purchased that item. This box supports F6 functionality; the Display Inventory window opens. |
Category |
Select one or more categories to include only those customers who have purchased items in this category. Hold down Ctrl while clicking with the left mouse button to select more than one category. By default, all categories are included on the report. |
Sub Category |
Select one or more subcategories to include only those customers who have purchased items in this category and subcategory. Hold down Ctrl while clicking with the left mouse button to select more than one subcategory. By default, all subcategories are included on the report. |
Inventory Greater Than This Dollar Amount |
Enter a dollar amount in this box to include only those customers who have purchased inventory items that exceed this amount. |
Primary Employee |
Select an employee to include only those customers who have made purchases and this employee is the primary sales person for that sale. |
Layaway Paid in Full Range |
Enter a range of dates to include only those customers who have paid off a layaway during that time. To quickly enter today's date, press T on your keyboard. To quickly back-date or forward-date by one day, use the Hyphen key (-) and Equal key (=) on your keyboard (alternatively, use the Minus Sign and Plus Sign keys on your keyboard number pad). Indicate if the total dollars spent should be more than, less than, or between the dollar value(s) entered in the Dollar Amount box(es). If you select Between, a second Dollar Amount box displays where you can enter the higher dollar value. |
Dollar Amount |
Enter a dollar amount that you want to use to include customers who have invoice and/or repair totals that are less than or more than this amount for the given date range. If you select Between in the options above, enter a dollar range here. |

Active Contracts |
Select this check box to include only those account contracts that have not been written off, paid off, returned, bankrupt, or in collections. |
Returns With Balance |
Select this check box to include only those account contracts that have been returned and a balance was created on the account. |
Autopay |
Select an autopay status to include only those accounts with that autopay status. |
Declined Autopays |
Select this check box to include accounts that have had a declined autopayment. |
Acct# |
Enter an account number to include only that specific rental account. This box supports F6 functionality; the Pick Customer window opens. |
Sub# |
Enter the sub-contract number if you entered an account number in the Acct# box that has more than one rental contract and you want to include only that specific account contract. This box supports F6 functionality; the Pick Customer window opens. |
Disc%1 |
Enter a discount percentage as a decimal. This is used by the <<RNT_DISCPERC1>> tag when you create your templates. |

Zip Code Range |
Enter a range of ZIP codes to include only those contract accounts with addresses within that ZIP code range. |
Region |
Select a region to include only those contract accounts with addresses in that region. By default, all regions are included on the report. Right-click in this box and click Clear Region to clear your selection. |
Location |
Select one or more locations to include only those contract accounts associated with that location. Hold down Ctrl while clicking with the left mouse button to select more than one location. By default, all locations are included on the report. |
School |
Select a school to include only those rental contracts associated with that school. By default, all schools are included on the report. Right-click in this box and click Clear School to clear your selection. |
New/Used |
Select New or Used to include only those contracts where the primary item on the contract is new or used. By default, contracts where the primary item is new OR used are included on the report. Right-click in this box and click Clear New/Used to clear your selection. |
Model/Cat |
Enter a model or catalog number to include only those customers who have purchased that item and that item was the primary item on the contract. This box supports F6 functionality; the Display Inventory window opens. |

Indicate if all contracts, only contracts with maintenance, or only contracts without maintenance should be considered for your generated output. |

Select this check box to include only those lessons for students with an active status. |
Declined Autopays |
Select this check box to include accounts that have had a declined autopayment. |
Print Student Name |
Select this check box to include the student name on any accounts that are part of your generated output. |
Acct/Sub# |
Enter an account number to include only that specific lesson account. Enter the sub-lesson number if you entered an account number in the Acct# box that has more than one lesson and you want to include only that specific lesson account. This box supports F6 functionality; the Pick Customer window opens. |
Begin Date |
Enter a date range to include only those lessons where the first lesson falls within this date range. To quickly enter today's date, press T on your keyboard. To quickly back-date or forward-date by one day, use the Hyphen key (-) and Equal key (=) on your keyboard (alternatively, use the Minus Sign and Plus Sign keys on your keyboard number pad). Select one or more subcategories to include only those accounts with a service ticket for an item in that subcategory and category. Hold down Ctrl while clicking with the left mouse button to select more than one category. By default, all repair item subcategories are included on the report. |

Rcvd Date |
Enter a date range to include only those committed orders that were received during that date range. To quickly enter today's date, press T on your keyboard.
